Bulk Clothing Size Breakdown Guide for B2B Orders

A bulk clothing size breakdown translates your overall quantity into the exact garments that people will receive. For corporate teams, distributors and event programmes, an order total alone is not enough. A useful breakdown connects each quantity to a style, colour, size and destination, with unresolved estimates clearly separated from confirmed requirements.

Identify who the clothing is for

Begin with the audience and distribution method. Named staff can often provide individual requirements, while an event programme may need an estimated allocation. Keep those situations separate. Record the date and source of the information so purchasing teams know whether figures are current. Avoid using a universal size ratio simply because it was used on another project: the intended wearers, garment shape and distribution arrangements may differ. Browse promotional apparel to identify the styles involved before collecting quantities.

Use the selected garment’s size information

Ask for the proposed size chart and clarification of how measurements are taken. Distinguish garment measurements from body measurements and check which the chart describes. Do not translate a familiar size label from another brand into an assumed fit. Where appropriate, organise a fitting review using the proposed garment and intended underlayers. For a mixed programme including polos and hoodies, record choices per style instead of automatically assigning each wearer the same label across all items.

Build a row for each orderable combination

Create a worksheet with columns for style reference, colour reference, size, quantity and delivery location. Add a version date and an owner responsible for changes. Separate department names from product identifiers so the same garment can be totalled across teams. If multiple logo versions or packaging instructions apply, include them as additional fields. Keep blank quantities distinct from zero: a blank can mean that a decision is still outstanding. This makes gaps visible before the purchase order is released.

Reconcile totals before requesting confirmation

Check the quantity within each style and colour, then compare the combined total with the overall project request. Review duplicates and ensure that revised rows replace earlier instructions. Ask the supplier to confirm receipt of the current breakdown and flag any assumptions in the quotation. Our custom clothing MOQ guide explains why quantity discussions need more detail than the total order size. Any proposed quantity adjustment should be reflected in the worksheet before approval.

Agree replacements and distribution requirements

Discuss how replacements, new starters or additional event demand will be handled. Any extra allocation should follow your own needs and budget; there is no fixed percentage that suits every buyer. Identify which sizes or styles remain uncertain and decide how to resolve them. If shipments will be distributed to several European or US locations, provide the destination breakdown and receiving instructions. Ask for packaging and carton identification to be confirmed with the supplier rather than assuming garments will arrive sorted for your internal process.

Keep the approved version for repeat orders

Once fit and quantities are approved, retain the final breakdown alongside the product specification, artwork reference and sample decision. Record later changes separately so future buyers can distinguish the original order from replacements. The sample approval checklist helps connect the size discussion with the approved garment, while our ordering guide covers the wider purchasing process. Send ZATEX your planned styles and available quantity details; remaining decisions can be discussed as part of a project-specific brief.
